About this policy

This policy explains, in plain English, what personal data we collect about you when you use Trayna, why we collect it, what we do with it, and the rights you have over it.

Trayna is a free study app made for students, most of whom are aged 14 to 18. Because we know that many of the people using Trayna are children, we have written this policy to be clear and easy to understand, and we have designed the app to protect young people by default. If anything here is unclear, please ask us using the contact details below, and a parent or guardian is always welcome to read this with you.

Who we are and how to contact us

Trayna is provided by Trayna Ltd, a company registered in England and Wales (company number 17204176), trading as "Trayna". Our registered office is 84 Albert Hall Mansions, Kensington Gore, London SW7 2AQ. You can find out more about us at trayna.co.uk.

Trayna Ltd is the "data controller" for the personal data described in this policy. That means we are responsible for deciding how and why your data is used, and for keeping it safe.

We are registered with the Information Commissioner's Office (the ICO), the UK's data protection regulator.

What personal data we collect and why

We only collect the data we actually need to run the app and help you study. We do not collect anything beyond that. The data falls into three groups.

Account details: your email address and password, which you use to sign in. Sign-in is handled securely for us by Google Firebase Authentication. We use this to create your account, keep it secure, and let you log in. If you choose Sign in with Apple, Apple helps you sign in as well.

Your study profile: your first name, your date of birth (used to check your age so we can protect younger users correctly), the exam subject, level and exam board you are studying, your target grade, your exam date, and your study-time preferences. We use this to set up your study plan and personalise the notes, questions and videos we show you.

Your study activity: your progress through topics, your performance and "mastery" data (how well you are doing), and when you were last active. We use this to power the adaptive daily study planner, to show you what to revise next, and to help you keep track of how you are getting on.

Trayna does not show adverts, does not use third-party analytics, and does not track you across other apps or websites. We do not show an App Tracking Transparency prompt because we do not track you.

Reminders: if you allow notifications, we send occasional study reminders to your device. You can turn these off at any time in your device settings.

Focus mode: so we can help you study without distractions, the app may check whether your device is in a Focus or Do Not Disturb mode. We only read this on your device to adjust the study screen; we do not store it.

Our legal bases for using your data

Data protection law says we must have a valid reason (a "legal basis") for using your personal data. We rely on the following.

Performing our contract with you: we need to use your account and study data to actually provide the Trayna service you have signed up for, such as your study plan and your progress tracking.

Consent: where consent is required, we rely on it. In particular, if a user is under 13, a parent or guardian must set up the account and give consent for us to process the child's data (see the section below on children).

Legitimate interests: we use a small amount of data to keep the app secure and to improve the service. When we rely on this, we always balance it against your interests and rights, and we give extra weight to the interests of children. You can object to this (see your rights below).

Trayna is made for children, and how we protect you

Most people using Trayna are under 18, so we follow UK GDPR and the ICO's Age Appropriate Design Code (the "Children's Code"). The Children's Code asks us to put the best interests of children first when we design and run the app. Here is how we do that.

High-privacy by default: the app is set up to be private from the start. There is no public profile, no social feed, and nothing about you is shared with other users.

Data minimisation: we only ask for the information we genuinely need to help you study, and nothing more.

No tracking and no ads: we do not run advertising, we do not use behavioural tracking, and we do not sell or share your data for marketing.

Age of consent: under UK data protection law, the digital age of consent is 13. If you are 13 or over you can set up and use Trayna yourself. If you are under 13, a parent or guardian must set up your account and give consent on your behalf. We collect your date of birth so we can apply the right protections for your age.

Parental rights: a parent or guardian can contact us at any time at info@trayna.co.uk to ask about their child's data, to access it, to correct it, or to have it deleted.

Where your data is stored

We store your core personal data in the United Kingdom. We use Google Firebase (for Authentication and our Cloud Firestore database) and Google Cloud Run, all running in Google's europe-west2 region, which is London, UK. This means your account and study data stays in the UK.

When you watch videos in the app, the video is streamed for us by Vimeo Inc., which is based in the United States. To stream a video to you, Vimeo may process your device's IP address and basic device information. This is an international transfer of a limited amount of data outside the UK, and it is covered by appropriate safeguards and Vimeo's terms. We do not send your name, study profile or progress data to Vimeo. If you use Sign in with Apple, a small amount of sign-in data is also processed by Apple outside the UK (see below).

Who we share your data with

We do not sell your data, and we do not share it for advertising. We only share data with the trusted service providers ("subprocessors") that help us run the app, and only so they can provide that service to us.

Google (Firebase Authentication and Cloud Firestore, and Cloud Run): hosts our app, stores your account and study data, and handles secure sign-in, in the UK (europe-west2).

Vimeo Inc. (US): streams the videos you watch, processing your IP address and device data to do so.

Apple: distributes the app through the App Store, and provides the optional Sign in with Apple feature.

We may also share data if the law requires us to, for example in response to a valid legal request.

If you use Sign in with Apple, Apple Inc. (US) processes your sign-in and, if you choose, a private relay email address on our behalf. This involves a limited transfer of sign-in data outside the UK under Apple's terms and safeguards.

How long we keep your data

We keep your personal data for as long as your account is active, so that your study plan and progress are there when you come back.

If you delete your account, your data and login are erased immediately. If you stop using Trayna without deleting your account, we delete inactive accounts and their data within 24 months. We do not keep your data longer than we need to.

Your rights and how to use them

You have rights over your personal data under UK GDPR. You can ask us to: give you a copy of your data (access); correct data that is wrong (rectification); delete your data (erasure); limit how we use it (restriction); move it to another service (portability); or object to certain uses, such as where we rely on legitimate interests.

The easiest way to delete everything is in the app: go to Settings and choose "Delete account". This erases all of your data and your login.

To use any of your other rights, or if you would like help, just email us at info@trayna.co.uk. We will not charge you and we will respond as quickly as we can. A parent or guardian can do this on behalf of a child.

If you are unhappy with how we have handled your data, you have the right to complain to the ICO, the UK's data protection regulator, at ico.org.uk. We would appreciate the chance to put things right first, so please consider contacting us before you do.

Changes to this policy

We may update this policy from time to time, for example if we add new features or change how the app works. When we make an important change, we will update the "last updated" date at the top and, where appropriate, let you know in the app.

Please check this page now and again so you always know how your data is looked after.

Governing law

This privacy policy, and any dispute relating to it, is governed by the laws of England & Wales.
